Employability and Alumni Administrator

Job Description

A graduate is required within the College of Social Sciences & International Studies, at the University of Exeter. You will engage alumni with volunteering activities and support the delivery of employability events and initiatives to students. This role is for 12 months and part of the GBP scheme.

The College of Social Sciences and International Studies is based on Streatham (Exeter) and Penryn Campus (Cornwall) and comprises: Graduate School of Education, Institute of Arab and Islamic Studies, School of Law, Department of Politics and International Relations, Sociology, Anthropology and Philosophy department and Strategy and Security Institute. Just fewer than 3,500 students study within the College Social Sciences and International Studies, which employs around 50 non-academic professional services staff in a wide variety of roles.

Purpose of Role

To support the delivery of employability and alumni activity within the College of Social Sciences and International Studies. This will include engaging alumni with opportunities to volunteer their time to support current students. Communications are an important aspect of engaging our alumni and maintaining warm relationships with the College. You will work closely with the College’s Alumni Engagement Officer and support activities such as regular searching on the alumni database, preparing content for newsletters and liaising directly with our alumni via email, the telephone and in person.

This post will also support the delivery of employability events and initiatives within the College. Many of these engage our alumni and employers to inform and inspire our current students about a range of work sectors. This role will work to engage all students with their employability, marketing and promoting events playing a crucial part to the role. Therefore, enhancing communications and collaborative work with students will be an important aspect of the role.

Duties and Responsibilities


Working closely with the College’s Employability and Outreach Manager to deliver a programme of employability related events and activities in support of careers preparation.

Provide administrative support for organising employability events such as booking rooms and catering, communicating with guests, making AV arrangements and providing on the day event support.

Monitor attendance at events and collate feedback to ensure that the service is continuously improved.

To ensure that events and activities are communicated clearly and effectively to students through a range of media: website; posters; social media; plasma screens; word of mouth.

Compile and produce the College’s Employability newsletter.

With the guidance of the College Office and Student Experience interns, work collaboratively with students to ensure that the events delivered meet their needs. To support student-led initiatives wherever possible and relevant. This could be attending SSLCs, supporting Student as Change Agents projects or other student society initiatives.

Update information about College employability activity on the website, online careers database, intranet and Exeter Learning Environment (ELE). In particular update and maintain the College Employability social media presence.

Help with supporting the College implement plans to optimise the Destination of Leavers in Higher Education survey responses.

Provide administrative support to centrally run employability programmes and College work experience modules where needed.


Maintain warm relationships with the College’s alumni by writing a regular newsletter; updating information on the website; providing a friendly and professional service to our alumni both via email, telephone and in writing.

Actively recruit alumni volunteers to support specific events and activities.

Maintain accurate records of alumni volunteering on the alumni database, Raiser’s Edge.

Maintain positive relationships with both the Student Employability and Academic Success team and Global Engagement and Development team.


Attend meetings relating to the employability and alumni activity in the College and liaise with Line Manager about important developments.

Carry out any other duties and projects as required by your Line Manager, commensurate with the level of the post.

 Person Specification

Essential Candidate Criteria:


An undergraduate or postgraduate degree from a UK University within the last three years

GCSE English and Maths at grades A*-C or equivalent qualifications

Personal Qualities and Attributes

Highly organised with the ability to manage a varied workload and multiple projects / tasks simultaneously

Confident speaking to people at all levels and from all backgrounds, and when contributing ideas to improve services

Ability to pay attention to detail and keep accurate records

An interest in student and alumni engagement and the employability agenda in Higher Education

Evident enthusiasm, initiative and willingness to learn

A commitment to equality of opportunity

Skills and Experience:

Demonstrable experience of events co-ordination or management

Demonstrable experience of team working and collaborative working

Highly developed skills in writing copy for websites and newsletters

Solid evidence of basic administrative skills

Excellent written and verbal communication skills, including the ability to correspond in a friendly and professional manner with individuals at all levels

Demonstrable experience of delivering a high quality customer service

Competent user of Microsoft software packages including Word, Excel and Outlook

Experience of meeting tight deadlines

Other requirements

Right to work in UK for the duration of the internship

Willingness to travel between Cornwall and Exeter if and when required (travel fully funded)

Willingness to work occasional evenings and weekends

Work in different offices and teams as and when required

Willingness to undertake training to learn how to update the University’s website (T4 system) and the Alumni database (Raisers Edge)

Desirable Candidate Criteria:

A Social Sciences degree from a UK University

An understanding of the needs and interests of Social Sciences students
