This role is to support the organisation and co-ordination of the ERDF Funded Breakthrough 2 events, workshops and labs to ensure that our clients enjoy a superb experience each time they attend.  You will work alongside the workshop manager and the marketing and events team to plan and organise to tight deadlines, keep an eye on the most intricate details and coordinate all the people involved.  You will undertake reporting and manage clients’ data so that the wider team can maximise client engagement.  In this role, having the right can-do attitude, excellent and a positive approach is of paramount importance as this is high profile role which is visible to our target market of business owners.   

Main duties and responsibilities:

  • Undertake administration to support events for all our stakeholders and clients
  • Support the events and workshop schedule plans and organisation
  • Keep the wider team informed as to the event plan and their roles
  • Help brief and co-ordinate the team who will deliver the business conference and peer group activity
  • Handle enquiries, bookings and the guest list to ensure maximum capacity is achieved
  • Help with the implementation of our events and workshop planning and delivery process from initial brief to resourcing, evaluation and continuous improvement
  • Work closely with the marketing and events team members as necessary to ensure the communications and promotions are delivering sufficient delegates in line with the marketing strategy and plans
  • Maintain the CRM system with a list of events venues, contacts, delegates, capacity and other key information which could inform the rest of the team
  • Monitor the wider events activity in Cornwall and ensure that the Breakthrough 2 activities don’t clash to maximise attendance and visibility
  • Support with the procurement of venues and caterers and other suppliers, ensuring necessary paperwork is undertaken
  • Undertake marketing administration for the events and workshop campaigns as necessary
  • Ensure all the required reporting evidence for funders is secured from clients and filed

Person Specification

Qualifications:

Essential

  • A relevant Degree or equivalent.

Experience, knowledge and skills

Essential:

  • Experience of administration and accurate data input
  • Fantastic telephone manner and interpersonal skills; ability to liaise politely and effectively with a broad range of people from celebrity speakers, business leaders to caterers and venue staff
  • Experience of working within a team environment
  • Excellent knowledge of Microsoft packages including Word, Excel, Outlook and PowerPoint, Experience of working to targets

Desirable:

  • Previous experience of events and/or workshop organisation, preferably for a business audience
  • Experience of working with SMEs or Start-ups
  • Experience in using CRM systems (preferably MS Dynamics), MS Teams, SharePoint, Planner or Trello and Eventbrite,
  • Knowledge or experience of working with statutory, educational, voluntary and commercial sectors
  • An interest in marketing and promotion
  • Knowledge of European Funding

Special Conditions

The post holder will be required to travel throughout Cornwall; a driving licence is therefore essential. This position is supported by the Cornwall & Isles of Scilly European Regional Development Fund (ERDF), part of the European Structural Investment Fund (ESIF) portfolio 2014 to 2020.  This role is fixed term in the first instance until 31st October 2021.
