This is the privacy policy of Gradsouthwest Limited. It relates to our services and websites which currently include: Gradsouthwest.com and GradWales.com.

When you use Gradsouthwest Limited’s websites you should be aware that:

Gradsouthwest Limited is committed to ensuring that your privacy is protected. Vacancy data, business contact data and personal data will only be used in accordance with this privacy notice. 

Gradsouthwest Limited may change this policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. We will also notify changes in our newsletters, job bulletins and on our websites. 

What we collect

Recruiters

When you submit a vacancy to us, we collect your vacancy data and business contact data (which may include your personal data). We will store this securely within our Office systems, including in our CRM, website databases and general recruiter mailing list. You may be contacted by Gradsouthwest Limited at any time. We will not share your data with external parties without your express permission but we may contact you on behalf of third parties. You can ask to be removed from our database by emailing admin@gradsouthwest.com
 
Candidates

When you register as a candidate with one of our websites we collect your personal data. We will store this securely within our Office systems, including in our website database and general job seeker mailing list. We use your data to profile and improve our service. We also use it to send you vacancies that may be relevant to your area of study (in addition to the automated email job alerts).

If you apply for a vacancy with your CV, your CV will be stored within our website database. Your CV will be shared with the organisation advertising the vacancy, and where they are acting on behalf of an employer, with the employer too so that the recruiting manager(s) can assess your application. For example, the University of Exeter's GBP scheme advertises graduate roles for both the University and other organisations through Gradsouthwest Limited. By submitting your CV for such a role via Gradsouthwest Limited you are also agreeing that the University of Exeter and the other recruiting organisation can store and use your CV according to their own Privacy Policies (which will be available on their own websites). We will not use the data in your CV for any other purposes than you applying for jobs – we will only use the data you provided when you registered.

Where you have given your permission, we will also use it to send you automated job alerts, and select you as suitable to receive vacancies / information we believe is relevant to you, for example, about postgraduate study that is relevant to your area of study. You may be contacted by Gradsouthwest Limited at any time. We will not share your data with external parties without your express permission which is sought when you register. 

Staff

When you apply to work for us, when you are ‘staff’ (staff including permanent, fixed term, and temporary staff, secondees, any third party representatives, agency workers, contractors, volunteers, interns, agents and sponsors) or former staff we hold information we ask for to assess your suitability for employment. We will store this securely within our Office systems. We then hold and retain that information during your employment, and for a suitable period of time thereafter after which time it will be securely destroyed.

What we do with the information we gather

The information we gather is securely stored in our Office systems, including in our website databases, our mailing list databases and, if applicable, our CRM. 
 
Recruiters / Candidates

We require this information to understand your needs, to provide you with a better service and in particular for the following reasons: - To send you vacancies / candidate notifications that may be relevant to your area of study / vacancy (in addition to automated email alerts) - To send you promotional emails from Gradsouthwest Limited - To contact you for market research purposes - To customise the website according to your profile - For our internal record keeping - To inform service audits and improvements

We require this information to enable your employment.

Controlling your data

You may choose to restrict the collection or use of your data in the following ways: 

Recruiters

- You may remove your vacancy data and business contact data (which may include your personal data) from the Gradsouthwest Limited databases by emailing admin@gradsouthwest.com or by deleting your user account on each of our websites

- You may opt out of receiving candidate notifications from Gradsouthwest Limited by logging in and amending your account preferences on each of our websites

- You can opt out of the recruiter mailing list at any time by selecting the opt out option in each e-newsletter

- You may opt out of receiving ad hoc emails from Gradsouthwest Limited at any time by emailing admin@gradsouthwest.com

Please be aware that if you/we remove your data, you will need to set up a new recruiter account next time you want to advertise a vacancy. 
 
Candidates

- You may opt out of receiving ad hoc emails and recruiter job notifications from Gradsouthwest Limited by logging in and amending your account preferences (this will not affect your automated email alert preferences)

- You may set up / amend / delete your automated email alerts by logging in and amending your account preferences on each website

- You may unsubscribe from Gradsouthwest Limited at any time by emailing admin@gradsouthwest.com

- If you have previously agreed to us supplying your personal information to third parties (you opt in or out when you register with the service), you may change your mind at any time by emailing admin@gradsouthwest.com 
 
Please be aware that if you/we remove your data, you will need to set up a new account next time you want to apply for a job vacancy. 
 
Staff

Applicants for our staff roles don’t have to provide what we ask for but it might affect your application if you don’t. 
 
ALL

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties.

You may request details of personal information which we hold about you under the Data Protection Act 1998 / General Data Protection Regulation (GDPR) (from 25 May 2018). A small fee will be payable. If you would like a copy of the information held on you please write to: Gradsouthwest Limited, Innovation Centre, Rennes Drive, EXETER, EX4 4RN. We will respond within a month of receiving your request. 

If you believe that any information we are holding about you is incorrect or incomplete, please write to or email us as soon as possible. We will promptly correct any information found to be incorrect.

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online. These security measures include the necessary protection to prevent, as far as possible, access to our databases by parties other than Gradsouthwest Limited.

(c) Legitimate interests: the processing is necessary for your legitimate interests or the legitimate interests of a third party unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests. This specifically relates to employers/ organisations who we have a legitimate interest in / we believe have a legitimate interest in us.
